Policy for protecting personal information

Understanding that it is a corporate social responsibility to be compliant with the Personal Information Protection Law in Japan, YAMATO LOGISTICS CO., LTD. (hereinafter "Company") has instituted the following policy for handling in a proper manner such personal information that can identify a specific individual as a customer's name, address, e-mail address, etc. (hereinafter referred to as the "Personal Information") in a proper manner.

  1. 1. Compliance with applicable Laws and Regulations

    In dealing with Personal Information, Company will observe all applicable laws and regulations concerning protection of Personal Information as well as Company's in-house rules.

  2. 2. Purpose of Use

    Company will specify the purpose of use of personal information and will not use it beyond the specified purpose (hereinafter, “Purpose of Use”). Furthermore, Company will not use Personal Information beyond the purpose limited by related regulations. Please refer here for details.

  3. 3. Acquisition of Personal Information

    Company will acquire Personal Information only to the extent necessary for its business and in a manner appropriate and lawful.

  4. 4. Proper Management of Personal Information

    The Personal Information will be kept up-to-date, and Company shall take measures to prevent unlawful access to loss, destruction, falsification, leakage, etc. of the Personal Information.

  5. 5. Limitation on Providing Personal Information to a Third Party

    Company will not provide Personal Information to any third party in principle unless the individual concerned has agreed to such use or authorized by law. However, Company may provide Personal Information to relevant entities without the related customer’s consent in any of the following cases:
    - Company entrusts to a third party the management of Personal Information that is necessary to achieve the Purpose of Use.
    - Company is one of the parties in the consolidation transaction.
    - Company uses Personal Information jointly with such designated entities that are publicly informed.

  6. 6. Management of Sensitive Information

    Company will not acquire, use and provide to any third party sensitive information (e.g. political affiliation, religion, participation in labor union, race, ethnic group, family origin, legal address on family registry and medical information) unless authorized by law or necessary to conduct business on condition that Company has the related customer’s consent.

  7. 7. Control of Contractors

    When a third party is consigned to deal with the Personal Information (such third party shall hereinafter be referred to as “Contractor”), Company shall take such necessary measures as executing a confidentiality agreement to cause the third party to manage the Personal Information properly.

  8. 8. Shared Usage

    The Personal Information will be shared among and within the Yamato Group companies. Please refer here for details.

  9. 9. Enquiries for Disclosure of Personal Information

    Any request or enquiries for disclosure, correction, deletion or suspension of use of the Personal Information, addressed to our Customer Service Center unless provided for otherwise by law, shall be responded promptly by Company to a reasonable extent. Please refer here for details.

  10. 10. Management System

    Company will make efforts to have Personal Information maintained and managed in the most up-to-date condition and utmost accuracy, and will implement reasonably safety measures in order to prevent problems such as information leaks. Company will also exercise appropriate supervision to such employees and Contractors handling Personal Information.

  11. 11. Continuous Improvements

    In view of the developments in information technology and the changes in social requirements, Company is determined to implement continuous improvements in its management structure and approaches to ensure protection of the Personal Information.

Purposes of Use of Personal Information

The Company will use Personal Information only to the extent necessary to achieve any of the following purposes stated below and will not use Personal Information beyond the Purpose of Use. In case the Purpose of Use of any certain Personal Information is limited by applicable laws or regulations, the Company will not use such Personal Information beyond the limitations established by such laws and regulations.

Purpose of Use

  1. (1) In order for shareholders to exercise their rights as well as to perform obligations pursuant to applicable laws;
  2. (2) To manage the Company’s shareholders such as preparing shareholders’ data in accordance with the standard prescribed in applicable laws and regulations;
  3. (3) To provide as well as receive orders for products/services;
  4. (4) To confirm the qualifications or the identity of the customer applying to use the products/services;
  5. (5) To introduce the Company and/or its business partners’ products/services, such as sending direct mails or the like;
  6. (6) Any other conduct the Company may perform in order to implement measures effective to facilitate the relationship between the Company and the customers, shareholders or employees.

Shared Usage of Personal Information within the Yamato Group

Within the Yamato Group, the management resources of each component company are combined effectively in order to provide attractive services to our customers, thereby improving the corporate value of the entire Group.

Accordingly, the Company intends to share the personal data within the Group only on an as-needed basis, limiting the use to the scope as specified below under stricter control and supervision. However, shareholder's personal data is not shared.

The Company will attempt to continue improvements from time to time as needed. Any modification thereof will be announced on this site, etc.

Enquiries for disclosure of Personal Information

In compliance with the provisions of Personal Information Protection Law in Japan, the Company shall handle requests for disclosure, etc. of Personal Information from any costomer in adequate manners as indicated below.

  1. 1. Procedures for requesting disclosure, etc.

    (1) Submission of required documents

    (ii) Please attach one copy of either documents below to the “Request form for Personal Information Disclosure” or the “Request form for Correction and Usage Termination”
    • Driver’s license
    • Passport issued by the Japanese Government
    • Health insurance certificate + resident's card, or health insurance certificate + public utility bill / receipt
    • Physical disability certificate
    • Certificate of alien registration

    Note 1) Please copy the part where customer's name is visible.
    Note 2) If the claimant is a legal agent, please attach a document identifying the claimant status as well as a document certifying the legal qualification.

    Please output the “Request form for Personal Information Disclosure (pdf)” or the “Request form for Correction and Usage Termination (pdf)” for submission.
    (ii) If you own a FAX only
    Please FAX your request for the “Request form for Personal Information Disclosure” or the “Request form for Correction and Usage Termination” along with your name, FAX number and telephone number to Yamato Logistics Co., Ltd. The form(s) will be sent to you later by FAX.

    (2) Personal Identification
    Based on the document you have sent in, the Company will confirm your identity as the principle. Our customer service center may call you by telephone to inquire if you have actually made the request.

    (3) In-house Search
    Based on your request information sent in, the Company will initiate an in-house search. While the Company will do its best in the search, there may be some data which cannot be extracted due to difficulties in data retrieval.

    (4) Reporting the Results
    Within one month after receipt of your request, the Company will send you a report of the search results. If your documents are not complete, however, the Company may require more time in reporting.

  2. 2. Charges

    For your request for personal information disclosure, the Company will charge 1,000 yen (including the consumption tax) for handling the search. The charge will be made upon delivering you the report.
