Policy for Protecting Personal Information

Understanding that it is a corporate social responsibility to be compliant with the Personal Information Protection Law in Japan, YAMATO GLOBAL LOGISTICS JAPAN CO., LTD. (hereinafter "Company") has instituted the following policy for handling in a proper manner such personal information that can identify a specific individual as a customer's name, address, e-mail address, etc. (hereinafter referred to as the "Personal Information") in a proper manner.
1. Compliance with applicable Laws and Regulations
In dealing with Personal Information, Company will observe all applicable laws and regulations concerning protection of Personal Information as well as Company's in-house rules.
2. Purpose of Use
Company will specify the purpose of use of personal information and will not use it beyond the specified purpose (hereinafter, “Purpose of Use”). Furthermore, Company will not use Personal Information beyond the purpose limited by related regulations. Please refer here for details.
3. Acquisition of Personal Information
Company will acquire Personal Information only to the extent necessary for its business and in a manner appropriate and lawful.
4. Proper Management of Personal Information
The Personal Information will be kept up-to-date, and Company shall take measures to prevent unlawful access to loss, destruction, falsification, leakage, etc. of the Personal Information
5. Limitation on Providing Personal Information to a Third Party
Company will not provide Personal Information to any third party in principle unless the individual concerned has agreed to such use or authorized by law. However, Company may provide Personal Information to relevant entities without the related customer’s consent in any of the following cases:
-Company entrusts to a third party the management of Personal Information that is necessary to achieve the Purpose of Use.
-Company is one of the parties in the consolidation transaction.
-Company uses Personal Information jointly with such designated entities that are publicly informed.
6. Management of Sensitive Information
Company will not acquire, use and provide to any third party sensitive information (e.g. political affiliation, religion, participation in labor union, race, ethnic group, family origin, legal address on family registry and medical information) unless authorized by law or necessary to conduct business on condition that Company has the related customer’s consent.
7. Control of Contractors
When a third party is consigned to deal with the Personal Information (such third party shall hereinafter be referred to as “Contractor”), Company shall take such necessary measures as executing a confidentiality agreement to cause the third party to manage the Personal Information properly.
8. Shared Usage
The Personal Information will be shared among and within the Yamato Group companies. Please refer here for details.
9. Enquiries for Disclosure of Personal Information
Any request or enquiries for disclosure, correction, deletion or suspension of use of the Personal Information, addressed to our Customer Service Center unless provided for otherwise by law, shall be responded promptly by Company to a reasonable extent. Please refer here for details.
10. Management System
Company will make efforts to have Personal Information maintained and managed in the most up-to-date condition and utmost accuracy, and will implement reasonably safety measures in order to prevent problems such as information leaks.
Company will also exercise appropriate supervision to such employees and Contractors handling Personal Information.
11. Continuous Improvements
In view of the developments in information technology and the changes in social requirements, Company is determined to implement continuous improvements in its management structure and approaches to ensure protection of the Personal Information.
